What is AI document processing?
AI document processing is the automated reading of business documents and extraction of their data into structured fields — supplier, date, line items, totals, tax — so nobody has to type them in. Text recognition reads scanned and photographed documents; a language model understands layouts it has never seen before; validation rules catch numbers that don't add up. How does AI invoice processing work?
- Intake. A document arrives and the workflow picks it up automatically.
- Extract. Text is read from the file, and the model maps it to your fields.
- Validate. Your rules check the result: do the numbers add up, is the supplier known, has this invoice been seen before?
- Review. Anything that fails a rule or comes back with low confidence goes to the review queue.
- Deliver. Approved data is written to the target system, and the document is filed.

How accurate is AI data extraction?
Honestly: it depends on your documents. Clean digital PDFs from regular suppliers are extracted far more reliably than blurry phone photos or handwritten forms, and a narrow set of formats is easier than hundreds of different layouts.
That's why we never design for blind trust. Validation rules catch errors the model can't see, confidence scores decide what goes to review, and a person approves anything unclear. We measure accuracy on a sample of your real documents during the build, so you see how it performs on your data before you rely on it.

Financial documents are sensitive, so the workflow can run on self-hosted n8n, documents can be stored in your own storage, and the model used for extraction is agreed with you in the proposal — including a privately hosted option where data must not leave your infrastructure.
How long does it take and what does it cost?
A first workflow for one document type typically takes 3–5 weeks. Setup starts at $2,000, and monthly care starts at $250 per month. Model usage is paid to the provider and depends on the number of pages processed.
