Lead routing automation: every new lead enriched, scored and in your CRM within minutes

Leads arrive from website forms, ad platforms and email. An n8n workflow cleans them up, adds company details, checks for duplicates, scores them and creates them in your CRM — and tells the right salesperson straight away.

What is lead routing automation?

Lead routing automation is a workflow that picks up every new lead, completes and checks its details, and assigns it to the right person in your CRM — without anyone copying data from inboxes or spreadsheets. Fixed rules handle the predictable parts, such as territory, product or deal size. An AI step reads the free-text message and helps sort what the rules can't: what the person actually wants, how urgent it is, and whether it's a real enquiry or spam.

  1. Capture. A new lead arrives and the workflow picks it up within seconds or minutes, depending on the source.
  2. Enrich. Missing details are filled in where reliable data exists, and everything is formatted the way your CRM expects.
  3. Check. The workflow looks for an existing contact or company and filters obvious spam.
  4. Score. Your rules and the AI step decide priority and the type of enquiry.
  5. Route. The lead is created or updated in the CRM, assigned to an owner, and that person is notified.

Which lead sources can it handle?

SourceHow leads arriveTypical notes
Website formsWebhook or form tool integrationFastest and most reliable source
Ad lead formsPlatform API or connectorDepends on the ad platform's API access
Sales inboxEmail read by the workflowAI step separates enquiries from other mail
Booking toolsWebhook when a meeting is bookedMeeting details added to the lead
Chat and WhatsAppHelpdesk or chat tool APIPairs well with an AI support agent

We usually start with the source that brings the most valuable leads, then add the rest once routing works.

How does AI lead scoring work, and can you trust it?

Most scoring should stay as plain rules you can read: company size, country, product, budget field. The AI step adds what rules miss, by reading the message itself — "we need this live before our launch in March" says more than any dropdown.

The AI step only tags and summarises; it doesn't decide alone who gets ignored. Every lead still reaches the CRM, the tags are visible to your team, and you can see why a lead was scored the way it was. We review a sample of real leads with you during the build and adjust the rules until sales agrees with the result.

Rule of thumb: automation should make sure no lead is lost and the good ones are seen first. It shouldn't quietly throw leads away.

Which CRMs and tools does it work with?

Leads can go to the CRM you already use. For example:

HubSpotPipedriveSalesforceZoho CRMAirtableGoogle SheetsSlackMicrosoft TeamsBubble.io apps

Whether a tool can be connected automatically depends on its API and your plan, which we confirm during the audit.

What about data privacy and consent?

Lead data is personal data. The workflow only collects what your forms and privacy policy already cover, enrichment uses sources you approve, and the workflow can run on self-hosted n8n so lead data stays on infrastructure you choose. Unsubscribes and deletion requests can be handled by the same workflow, so your CRM stays in line with what people asked for.

How long does it take and what does it cost?

A first lead routing workflow typically takes 1–3 weeks. Setup starts at $1,000, and hosting plus maintenance starts at $200 per month. Enrichment services and AI model usage are paid to their providers and depend on lead volume.

The price depends mostly on the number of lead sources, how complex your routing rules are and how clean your existing CRM data is. Payments are milestone-based, and the launch includes one month of free bug fixing.

When is lead routing automation not a fit?

Good fit when…

  • Leads come from more than one source
  • More than one person handles sales
  • Leads wait hours or days for a first reply
  • Your CRM is full of duplicates and empty fields

Not a fit when…

  • You get a few leads a month and answer them yourself
  • Your CRM's built-in forms already cover everything
  • There's no agreed rule for who owns which lead
  • You don't use a CRM or shared lead list yet

Frequently asked questions

What is lead routing in a CRM?

Lead routing is the process of assigning each new lead to the right salesperson or team based on rules such as territory, product, company size or existing account ownership. Automating it means leads are assigned and the owner is notified within minutes, instead of waiting in an inbox.

Can AI score leads accurately?

AI is good at reading free-text messages and tagging intent, product interest and urgency, which plain rules miss. It works best alongside rules you can read, with the tags visible in the CRM, and tested on a sample of your real leads before you rely on it.

Which CRMs can new leads be sent to?

Common destinations include HubSpot, Pipedrive, Salesforce, Zoho CRM, Airtable and spreadsheets, plus Slack or Microsoft Teams for notifications. Whether a tool can be connected automatically depends on its API and plan, which is confirmed during the audit.

Will automation create duplicate contacts?

Not if duplicate checks are part of the workflow. Before creating a record, the workflow searches for an existing contact or company by email, domain or phone, and updates that record instead of creating a new one.

How much does lead routing automation cost?

At Webziper, a lead routing workflow starts at $1,000, with hosting and maintenance from $200 per month. The price depends mostly on the number of lead sources, the routing rules and the state of your existing CRM data.
