Meeting notes automation: summaries, decisions and follow-up tasks created after every call
Calls on Zoom, Google Meet or Microsoft Teams are transcribed and summarised. Decisions are captured, action items become tasks in your project tool with an owner, and sales calls update the CRM — so nothing agreed on a call is forgotten.
What is meeting notes automation?
Meeting notes automation is a workflow that turns a call recording or transcript into a structured summary, a list of decisions and follow-up tasks in the tools your team uses — without anyone writing minutes. Many meeting tools already produce a summary. The difference is what happens next: the workflow sends each part to the right place, in your format, and connects it to the client, project or deal it belongs to.
Do you need meeting notes automation?
- "We agree on next steps in a call, and a week later nobody remembers who owns them."
- "Sales calls never make it into the CRM, or only as one line."
- "Our meeting tool writes summaries, but they stay inside that tool."
- "Someone spends half an hour after every client call writing a recap email."
- "New team members can't find what was decided in last month's meetings."
What do we build?
- Pickup of recordings or transcripts from your meeting platform or recording tool, as soon as a call ends.
- A structured summary in your template: context, discussion points, decisions, open questions and next steps.
- Action items as tasks in your project tool, with an owner and due date where one was mentioned.
- CRM updates after sales calls: notes on the deal, next step, and fields such as budget or timeline when they were discussed.
- A recap draft for the client or team, ready to review and send.
- A searchable archive of summaries in Notion, Google Drive or Confluence, so past decisions are easy to find.
How does meeting notes automation work?
- Record. The call is recorded by your meeting platform or a recording tool, with participants informed.
- Transcribe. The workflow gets the transcript, or creates one from the recording.
- Summarise. An AI step writes the summary and extracts decisions and action items in your format.
- Review. If you want, the organiser approves the summary and tasks with one click before anything is sent.
- Send. Tasks go to the project tool, notes to the CRM or wiki, and the recap draft to your inbox.
What does it produce for different meetings?
| Meeting | Output | Where it goes |
|---|---|---|
| Sales call | Needs, objections, budget, next step | CRM deal and a follow-up email draft |
| Client project call | Decisions, change requests, action items | Project tool and client recap |
| Internal team meeting | Decisions and owners | Project tool and team wiki |
| Interview or research call | Key quotes and themes | Notion or Google Drive |
We start with the meeting type that happens most often and costs the most follow-up time.
How accurate are AI meeting summaries?
Good, with limits worth knowing. Transcription quality drops with poor audio, strong crosstalk and specialist terms, and a summary can miss nuance or credit a task to the wrong person when it's unclear who agreed to what.
That's why tasks include a link back to the moment in the transcript, the summary follows a fixed template rather than free writing, and you can switch on an approval step so the organiser checks the output before it reaches clients or the CRM. We test it on a set of your real recordings during the build.
Which tools does it work with?
Recordings, tasks and notes can connect to the tools you already use. For example:
Access to recordings and transcripts depends on each platform's API and your plan, which we confirm during the audit.
What about consent and privacy?
Recording people requires their knowledge, and in many countries their consent, so the workflow only processes calls your team has chosen to record under your own policy. Recordings can be deleted once the transcript is processed, transcripts can stay in your own storage, and the workflow can run on self-hosted n8n with a speech-to-text and language model agreed in the proposal — including privately hosted options for sensitive calls.
How long does it take and what does it cost?
A first meeting notes workflow typically takes 1–3 weeks. Setup starts at $1,000, and hosting plus maintenance starts at $200 per month. Transcription and AI model usage are paid to the providers and depend on the hours of calls processed.
The price depends mostly on the number of meeting types, the tools the output goes to and whether an approval step is needed. Payments are milestone-based, and the launch includes one month of free bug fixing.
When is meeting notes automation not a fit?
Good fit when…
- Your team has many client or sales calls a week
- Follow-up tasks regularly get lost
- Call notes need to reach a CRM or project tool
- Calls are already recorded, or can be
Not a fit when…
- Your meeting tool's built-in summary already covers it
- Calls can't be recorded for legal or client reasons
- Most meetings happen in person without recording
- There are only a few calls a month
Frequently asked questions
Can AI create tasks from meeting notes automatically?
Yes. An AI step extracts action items from the transcript, with an owner and due date when they were mentioned, and the workflow creates them in tools such as Asana, ClickUp, Jira, Trello or Notion. An optional approval step lets the organiser check them first.
How is this different from the summary in Zoom or Teams?
Built-in summaries stay inside the meeting tool and follow its format. A workflow uses your template and sends each part where it belongs: tasks to the project tool, notes to the CRM deal, a recap to the client and the summary to your wiki.
Which meeting platforms are supported?
Common platforms include Zoom, Google Meet and Microsoft Teams, as well as recording tools that export transcripts. Access to recordings depends on each platform's API and your plan, which is confirmed during the audit.
Do participants need to agree to be recorded?
Participants must know a call is recorded, and in many countries they must consent. The workflow only processes calls your team chose to record under your own policy, and recordings can be deleted once they are transcribed.
How much does meeting notes automation cost?
At Webziper, a meeting notes workflow starts at $1,000, with hosting and maintenance from $200 per month. Transcription and model usage depend on the hours of calls processed.
