Inventory and sales app for collectible dealers, built in Bubble.io

A web app for collectible dealers that automates inventory and sales workflows, so items reach the right buyers sooner and dealers spend less time on admin. We built it entirely in Bubble.io, with Algolia powering instant search across the inventory.

What does it do?

Collectible dealers spend a lot of their time on admin: cataloguing items, keeping track of what's in stock, and moving pieces through a sale. This app takes that work off their hands. It automates the inventory and sales workflows, so dealers can focus on the collectibles and the customers instead of the spreadsheet.

For a dealer, the inventory is the business. That makes one feature critical: finding any item, right now, while a customer is waiting.

How is it built?

The app runs entirely in Bubble.io. The inventory, sales workflows, automations, accounts and database all live there. The one part we handed to a specialist service is search: Algolia indexes the inventory and answers search queries instantly.

Dealers use a Bubble.io app that holds inventory records, sales workflows, automations, accounts and the main database. Inventory is synced to an Algolia search index, and searches go to Algolia, which returns instant results as the dealer types.Dealeradds inventorysearches stockmanages salesBubble.io appinventory recordssales workflowsautomationsuser accountsmain databaseappresultsAlgoliasearch index ofthe inventoryinstant resultsas you typesyncresultsUserBuilt in Bubble.ioAlgolia search

Why add Algolia to a Bubble.io app?

Bubble.io has search built in, and for many apps it's enough. But Bubble's search is a database query. When people search all day and expect results while they type, every keystroke becomes another query against the database. That gets slower as the inventory grows, and it adds to workload-unit usage.

Algolia is a dedicated search engine. It keeps its own index of the inventory and is built to return results while the user is still typing.

Rule of thumb: if people search your app all day and expect results while they type, give search its own engine. Bubble.io stays the source of truth; Algolia just answers the queries.

Bubble.io stays the source of truth for every item. Algolia holds a copy of the searchable fields, so the index has to follow every change: a new item, an edited price, a sold piece.

When a dealer adds or edits an item in Bubble.io, the change is synced to the Algolia index. When the dealer types in the search box, each keystroke queries Algolia and matching items appear while typing.1 · Item saveddealer adds or editsan item in Bubble2 · Index updatedthe change is syncedto Algolia3 · Dealer typeseach keystroke is aquery to Algolia4 · Instant resultsmatching items appearwhile typingSearches go to Algolia instead of the Bubble database, so search stays fast as the inventory grows

The part that needs care is the sync. If an item changes in Bubble and the index doesn't, a dealer finds something that's already sold. That's why the sync belongs in the core workflows, not in an afterthought.

When does Algolia make sense for your Bubble.io app?

Add Algolia when:

  • Search is a core action people repeat all day, not an occasional filter
  • You have a large or growing catalogue: inventory, listings, products, documents
  • Users expect results while they type, with tolerance for typos

Stick with Bubble's search when:

  • The data set is small, or search is a simple filter on a few fields
  • An extra subscription and a sync to maintain aren't worth it yet

Frequently asked questions

Can you add Algolia search to a Bubble.io app?

Yes. The Bubble.io app keeps its own database, and the searchable fields are copied into an Algolia index. Searches then go to Algolia, which returns results while the user types, and the app shows those results and opens the full record from Bubble.

How does Algolia stay in sync with the Bubble.io database?

Every time a record is created, changed or deleted in Bubble.io, the same change has to be sent to the Algolia index. That sync belongs in the app's core workflows; if it's missed, search shows items that no longer match the database.

Is Bubble.io's built-in search good enough?

For small data sets and simple filters, yes. When search is a core action that people repeat all day on a large or growing catalogue, and they expect results while typing with tolerance for typos, a dedicated engine such as Algolia is faster and more forgiving.

Does Algolia cost extra on top of Bubble.io?

Yes. Algolia is a separate subscription with its own usage-based pricing, on top of your Bubble.io plan. In return, search queries no longer run against the Bubble database, which can lower the workload that searches would otherwise add to the app.

Building an app around a big catalogue?

We build Bubble.io apps with the workflows and the search to match, so your users find what they need while they type.
