AI voice agent for phone calls and bookings that hands anything unusual to your team
An AI voice agent answers routine calls about opening hours, prices and availability, takes booking requests and changes, and passes everything else to a person — with a written summary of every call, so nobody has to listen back.
What is an AI voice agent?
An AI voice agent is software that answers phone calls in natural speech, understands what the caller wants and handles routine requests on its own — such as answering common questions or booking an appointment in your calendar. It listens through speech recognition, decides what to do with a language model, and replies with a synthetic voice. When a call is unusual, sensitive or the caller asks for a person, it transfers the call or takes a message.
Do you need an AI voice agent?
- "We miss calls when the front desk is busy, and those people book somewhere else."
- "Half our calls are the same five questions about hours, prices and parking."
- "Booking changes by phone take staff away from customers in front of them."
- "After-hours calls go to voicemail that nobody checks until morning."
- "We don't know why people call, because nobody writes it down."
What do we build?
- A phone number or call forwarding so the agent answers on your existing number — always, only after hours, or when nobody picks up.
- Answers from your own information: services, prices, opening hours, location and policies, kept in one place you can update.
- Booking, rescheduling and cancelling in your calendar or booking system, with a confirmation by SMS or email.
- Transfer to a person for anything unusual, urgent or sensitive, or whenever the caller asks.
- A written summary of every call sent to email, Slack or your CRM, with the caller's request and what was done.
- Call logs and recordings where you allow them, so you can review conversations and improve answers.
How does an AI voice agent handle a call?
- Answer. The agent picks up and says it's an automated assistant.
- Understand. It works out what the caller wants and asks a follow-up question when unsure.
- Act. It answers from your information or checks availability and books the slot.
- Hand over. Anything outside its rules is transferred to a person or taken as a message.
- Summarise. A short written summary of the call goes to your team.
Which calls can a voice agent handle?
| Type of call | What the agent does | Good fit? |
|---|---|---|
| Hours, prices, location | Answers from your information | Yes |
| New booking | Checks availability, books, confirms | Yes, with a connected calendar |
| Change or cancellation | Finds the booking and updates it | Yes, with caller verification |
| Complaints | Takes details and hands over | Only to route them to a person |
| Emergencies, medical or legal advice | Transfers immediately | No — always a person |
Will callers know they're talking to AI, and will they mind?
They should know, and the agent tells them at the start of the call. The bigger risk usually isn't callers disliking AI; it's an agent that talks too much, misunderstands names or doesn't let people reach a human. So we keep answers short, confirm details such as names, dates and phone numbers back to the caller, and make "speak to a person" work at any point.
Voice quality and response speed depend on the speech and model providers you choose, as well as the phone line. We test with real calls in your language and accent before launch, and review a sample of calls in the first weeks.
Which tools can it connect to?
The agent can work with the phone and booking tools you already use. For example:
Whether a booking system can be connected depends on its API and your plan, which we confirm during the audit.
What about call recording and privacy?
Recording calls has legal requirements that differ by country, so the agent announces recording when it's on, and recording can be switched off entirely while still keeping a written summary. Callers are verified before booking details are changed, call data is kept only as long as you decide, and the speech and language providers are agreed with you in the proposal.
How long does it take and what does it cost?
A first voice agent for one phone line typically takes 4–6 weeks. Setup starts at $2,500, and monthly care starts at $300 per month. Phone minutes, speech and AI model usage are paid to the providers and grow with call volume; we estimate them with you up front.
Monthly care covers updating answers, reviewing calls the agent couldn't handle, adjusting rules and fixing connections. Payments for the build are milestone-based, and the launch includes one month of free bug fixing.
When is an AI voice agent not a fit?
Good fit when…
- You get many routine calls a day
- Calls are missed when staff are busy or after hours
- Bookings live in a calendar or system with an API
- Someone can take over the calls the agent hands on
Not a fit when…
- Most calls are complex, emotional or high-stakes
- You only get a few calls a day
- Callers mostly need advice a professional must give
- Bookings are kept on paper or in a system with no API
Frequently asked questions
Can an AI voice agent book appointments?
Yes, when it's connected to your calendar or booking system. It checks availability, books the slot, confirms the details back to the caller and sends a confirmation by SMS or email. Changes and cancellations work the same way after the caller is verified.
Can I keep my existing phone number?
Usually yes. Calls are forwarded from your existing number to the agent, either all the time, only after hours, or only when nobody answers within a set number of rings.
What happens when the AI voice agent can't help?
It transfers the call to a person or takes a message, and sends your team a written summary of what the caller wanted. Callers can ask for a person at any point in the call.
Does the voice agent work in languages other than English?
Many speech and language models support several languages, but quality varies by language and accent. We test with real calls in your language before launch and only go live when the agent understands callers reliably.
How much does an AI voice agent cost?
